By completing your membership form on line you are agreeing to the GDPR statement below.

By paying my membership subscription to Lapworth Ladies Supper Club I give my consent for my name, telephone number, address and email address to be held on a membership list by the committee of Lapworth Ladies Supper Club.

This information will only be used by the club for purposes in connection with the running of the club, which includes communicating by post, telephone and email.

I understand that none of my data will be passed onto any third parties at any time.

The electronic membership list will be stored on a password protected computer.

The membership list, will be updated by the end of December each year and member’s data who are not re-joining from the previous year, will be deleted.

Your details can be removed from our records at any time of the year, within 28 days of a written request to cancel your membership to the club secretary.



Rules of Lapworth Ladies Supper Club (‘the Club’)

  1. The Club’s membership from year to year comprise persons who have paid the annual membership fee for the current year.
  2. A person’s membership is only for the year for which the membership fee has been paid.
  3. The membership year is from 1 October to 30 September in the following year (the ‘membership year’).
  4. Membership entitles a member to attend all events organised by the Club subject to complying with the requirements specified in the details for the relevant event.
  5. All members shall be polite, courteous, and respectful and trust one another and not discriminate on grounds of religion, age or ethnicity.
  6. Members may introduce a guest to the Club by the guest’s attendance at a Club supper. No person can attend as a guest more than once in the membership year except the open December supper when multiple guests are welcome, subject to there being sufficient supper places available.
  7. The Club is run by a committee  made up of a minimum of 3 and a maximum of 6 members
    • There are a minimum of 3 designated roles on the committee Chairman, Treasurer, Secretary
      • Treasurer– receives and makes payments and keeps financial records .Arranges for accounts to be audited annually by an independent qualified accountant. Holds a reserve in the account for prepayments for following season, receives supper booking forms cheques and on line payments and confirms numbers with the venues .The treasurer is the main link with the club’s bank and arranges that committee member’s signatures are in place for banking processes.
      • Secretary– produces, membership forms, and the members annual programmes for each year. Produces agendas and records the minutes for each committee meeting and Annual general Meeting (AGM). Undertakes letter writing /email communications as needed. Maintains the current membership list.
      • Chairman– Chairs committee meetings and AGMs and does the welcome and announcements at each supper Club event.
      • Other committee members take on tasks as agreed by the committee to aid running the Club.
    • Committee members are indemnified against claims from club business.
    • Committee members are entitled to be reimbursed for their expenses but no committee member is entitled to make a profit.
    • Committee members are elected at the AGM.
    • Committee members serve for 3 years but can be re-elected for a further term at the AGM.
    • Committee members abide by the data protection statement on the membership form.
    • Committee members agree by a majority any change in banking policy/procedures and signatories to the account.
  8. The AGM is held annually, usually in September.
    • Votes at the AGM are by a show of hands. There shall be no proxies for members unable to attend.
    • For the AGM to be quorate there must be present one third of the membership who have paid their membership fee in the previous membership year.
  9. Notice period for communicating time and place of AGM to members is a minimum of 7 days
  10. Accounts are presented for approval at the AGM.
  11. New Committee members can be elected at  the AGM and any member wishing to serve a subsequent term can be re-elected
  12. If the Committee recommend to the membership to wind up the Club the membership can resolve at an AGM to wind-up the Club by a show of hands at an AGM.
  13. If the AGM is not quorate the AGM shall be postponed to the beginning of the next Club event. If the AGM is still not quorate the committee in its sole discretion may resolve to wind-up the Club.
  14. If the Club is wound up any existing monies are distributed equally to current members after all debts have been paid.
  15. Any complaints e.g. between members should be sent to the committee who will recommend an appropriate procedure including an investigation. The decision of the committee shall be binding. The chairman has a casting vote. This may include the possibility of ejection of a member or members from the Club if these rules have been breached.
  16. The Rules of the Club shall be attached to the programme and circulated to membership each year each year.
